The four numbers that make up a CRM bill
A per-seat headline rate is only the first of four numbers that decide what you actually pay. The other three are the billing period, the seat type, and whatever sits outside the subscription entirely.
- The seat rate. The number vendors advertise, and almost always the annual-commitment rate rather than the monthly one. HubSpot Starter is $7 a seat on annual billing and $20 month to month, so the headline can be under half the flexible price.
- The billing period. Annual commitments discount roughly 20% to 50%. Attio and Close both advertise 20% or more, and Close shows up to 50% on some tiers.
- The seat type. HubSpot distinguishes core seats from sales seats at different rates, so a headcount number alone does not give you a bill. Salesforce splits by edition instead, from Starter Suite to Agentforce 1 Sales at $550.
- What sits outside the subscription. Telephony on Close is billed separately, and Attio meters credits on top of the seat price. Two CRMs at the same seat rate can land far apart once usage is counted.
What the free tiers actually give you
Four of the six publish a free tier, and all four are capped by seats rather than by time. HubSpot and Salesforce both stop at 2 users, while Zoho CRM and Attio allow 3.
A seat-capped free tier is a genuinely useful evaluation path for a founder or a two-person team, and a dead end for anyone who needs a fourth person in the system. Pipedrive and Close take the other approach and offer a trial instead, 14 days on Pipedrive with no card required.
The practical read is that a free tier tells you whether the product fits your process, not whether it fits your team. Plan to pay by the time a third or fourth person needs access.
